Guidelines for Event Leaders
- Choose outing you want to lead and set date, time and meeting place.
- Plan ahead for number of people that can be accomodated, number of drivers needed, payment arrangements if any, etc.
- Decide whether your outing is adults only or whether open to children of a certain age.
- Set number of people. For instance, if you have decided you can accomodate ten people, when you have ten people confirmed, close the event unless you want to have a waiting list. Activities are open to UUSS members and their guests.
- If you need to buy tickets in advance, make sure you have collected checks from all participants before finalizing arrangements.
- Advise Coordinator of outing details so that she can send out notice to all members of Out and About via e-mail. Also check with Coordinator to be sure that all participants have executed a waiver form for themselves and their children, if applicable.
- Once the event has been announced by the Coordinator, communicate arrangements directly with your group. You can request the Coordinator to send out a reminder of the event if you still have openings.
- Before leaving the carpool meeting place, make sure that you have a sign-up sheet with the name of each participant and their emergency contact name and phone number. Also, it is a good idea for participants to have e-mail for the other participants or at the very least, the event leader.
- Be sure that all drivers have a current license and liability insurance.
- If possible, try to have a first aid kit and someone with CPR certification participating.
- When event is completed, furnish Coordinator with the event report, completed waivers (if none previously on file), and sign-in sheet. Report should be in summary form and include the name of the event, the date and time, the number of people attending, and any other information that might be helpful in planning future outings of this type. You can also send photos of your event along with your report which, at the Coordinator's discretion may be placed in the photo gallery for this site.
